Job Description
Duties: 
Answers telephone and routes calls/work orders using multiple communication methods to include email & fax. Files. Provides public with general information regarding department services. Records and distributes messages. Types memos, letters, forms, notices, etc. Issues work orders to contractors, receives completed work orders, prepares and files legal paperwork regarding liens, and issues invoices to contractors and property owners. Maintains manual and/or computerized record keeping systems. Photocopies and facsimiles a variety of documents. Posts outgoing mail & files legal paperwork at the courthouse. Complies with departmental policies and procedures. Performs other related work as required.
Working Conditions: 
Work is performed in a normal office environment.
Job Requirements
Education and Experience: 
High school diploma or equivalent. Six months to one year of experience in general office practices, procedures, and equipment or any equivalent combination of education, training, and experience which provides the required knowledge, skills and abilities.
Knowledge: 
Office administrative and secretarial practices and procedures such as business letter writing and operation of standard office equipment including networked computers, Microsoft Word and Excel software packages, and web browser based software. Record keeping, report preparation, and filing methods. Correct English usage. Standard business arithmetic, including percentages and decimals.
Skills: 
Typing at rate of 40 net words per minute. Using Microsoft Word and Excel. Proofing skills. Analytical skills. Interpersonal skills necessary to be courteous to fellow employees, contractors, and citizens, even in confrontational situations. Excellent communication skills, both verbal and written. Organizing and prioritizing tasks and maintaining filing and record keeping systems, both paper and electronic. Ability to research legal aspects of real property and ownership thereof and properly enter the information into the web-based software. Ability to use various forms of multimedia to receive and transmit digital photos. Routine mathematical computations for accounting purposes.
Mental & Physical: 
Ability to concentrate and pay close attention to detail. Ability to receive and follow oral and written instructions. Ability to work independently and apply sound judgment when resolving problems and complaints. Ability to work under pressure and meet deadlines. Ability to work with confidential information and maintain confidentiality of personnel records. Limited amount of physical effort required associated with walking, standing, lifting, and carrying light objects (less than 25 lb.) 5-10% of work time. Ability to maintain regular, predictable and punctual attendance.
Additional Information:
